Apprentice Intake Coordinator - HVAC

One of the largest organized associations that represents contractors in the industrial, commercial, institutional, and residential HVAC trade is immediately looking for an outgoing and detailed-oriented Apprentice Intake Coordinator to work out of their office in Woodbridge, ON.

As the Apprentice Intake Coordinator, you will be responsible for managing, scheduling, promoting, and the administrative tasks of the First-Year Apprentice Program.  This could include, but is not limited:

  • Develop and manage candidate application system and vet all applications to ensure all requirements of program are met
  • Manage online tests using specific software
  • Coordinate volunteers and details of in-person/online apprentice interview
  • Liaise with local 787 and supply Candidate Compliance Letters when contractors hire apprentices off the Ready-to-Hire list
  • Track annual statistics of applicants and financial results of program
  • Prepare quarterly updates on apprentice intake program for meetings
  • Respond to phone and email inquiries about program
  • Maintain relationships with Ontario Colleges that teach HVAC/R programs and speak to students about the Intake program
  • Various administrative duties (i.e. filing, processing payment, distribute registrant information etc.)
  • Other duties as required


  • 3-5 years experience in an administrative and customer/client -facing role, preferably from the HVAC, Plumbing, and/or Electrical Industry
  • Strong verbal and written communication and public speaking skills
  • Ability to multi-task with a strong attention to detail
  • Proficient Computer Skills
  • Those with experience and/or knowledge of Skilled Trade/HVAC/Apprenticeship program background is considered a strong asset
  • Valid “G” driver’s license with access to a vehicle
  • Must be willing to work: occasional evenings for events, minimal overnight travel (3-4x/year), local travel (10%)



  • $60,000 - $70,000/year
