Tips to Write a Resignation Letter with Examples

You found a new job, and accepted the job offer, maybe it was closer to you, offered better wages, joined a union, or took a higher position, whatever your reason is, it’s now time to inform your current employer you’re leaving.

Let’s face it, as a tradesperson such as an HVAC Technician, Diesel Mechanic, Fire Alarm Technician, Plumber, Heavy Equipment Mechanic, or Sprinkler Fitter, your time isn’t spent writing and necessarily knowing proper writing etiquette that your typical HR person would be looking for.  It’s honing your skills and being a master of your trade -or working towards this. One of the elements outlined in that article is providing your employer with a physical written resignation letter (plus, your HR department may require this).   Some of the reasons you want to provide notice of your intention to leave to your employer include:

  • Shows your professionalism and respect for your employer
  • Maintains a positive relationship with your network and increases your chances of them providing positive references for the future
  • It may be outlined in your employee contract

Below, you’ll find some tips on how to write a resignation letter and some examples you can use to help you.

Key Elements of a Resignation Letter and Format

Some key elements of your resignation letter should include:

Contact Information

The letter should start with your full name, address, and contact information including your phone number and email address.  This helps to quickly provide your details should further communication be required during your transition period.

Date Written

This is the date the letter is written.  This creates an official record of when the notice was given, providing clear information on the resignation schedule.

Recipient’s Name and Address

This should include the recipients full name, title, company name, and company address.  This helps to set a professional tone and ensures the correct person is receiving the letter.

Decision and Important Dates

Do not be vague with what the letter is about. Clearly state your intention to leave the company and your last working day so that there is no confusion or miscommunication.  For example, “I am formally writing to hand in my 2 week’s resignation notice from my position at ABC Cooling Inc.  My last working day will be Friday, May 15.”

Brief Reason (Optional)

You can provide a reason for your leaving if you choose.  If you provide a reason for leaving, such as relocation, better wages, or career growth, etc., it can help your employer gain a better understanding on why you are leaving and possibly, implement changes to make things better for employees moving forward.

This is not the time to air complaints, grievances, or negative comments about your employer or colleagues.  Remember, you want to leave on good terms – or as best as possible.

Communicate Gratitude and Appreciation

Express your gratitude and appreciation for the company and/or your manager.  For example, “Thank you for the opportunity to work at McRae’s Fire Protection. I’ve learned and gained valuable experience during my time here and under your leadership.”

Next Steps

Offer your cooperation and assistance to help during the transition period.  This shows professionalism and respect for your employer to help your employer with a smooth changeover.  This offer of assistance for next steps could include, “I will be happy to train my replacement or help in any way during this time.”

Signature

Finish off your letter with a formal closing, such as “Regards,” “All the Best,” or “Sincerely,” etc. and your full typed name and/or signature.

Proofread

Before submitting, don’t forget to review or have someone else review your letter for any grammar or spelling mistakes, and more importantly, make sure you are not missing any of the above elements.

I want to express my gratitude for the opportunity to work with such a supportive team and contribute to the company’s success. I have learned a great deal during my time here, and I sincerely appreciate all the guidance and experiences.

Over the next two weeks, I am committed to ensuring a smooth transition, including training a replacement or wrapping up any projects I am working on. Please let me know how I can assist in making this transition as seamless as possible.

Thank you again for the opportunity to be a part of [Company Name]. I look forward to staying in touch and wish you and the company continued success in the future.
